Web app · registration, payment and waiting list

VTAG: sign-up, payment and the waiting list run by themselves.

A web app for volleyball trainings and tournaments, built by me and in use in the Netherlands. The same idea works for courses, events and rentals in your business.

  • In use: Netherlands

VTAG: detail view of a volleyball event with registration status

Starting point

The problem

Sign-ups came in through chats and lists, payments were checked by hand, and when someone cancelled, somebody had to phone through the waiting list. A lot of work for a team that really wants to organise volleyball.

What I built

The solution

A web app where players sign up and pay straight away. When an event is full they join the waiting list and move up automatically as soon as a spot opens.

Result

What changes as a result.

  • No more checking payments by hand
  • Open spots are refilled automatically and fairly
  • The team always sees who has paid and who is coming

Features

What VTAG does.

  • 01Registration by playing level
  • 02Pay online; the spot is confirmed after payment
  • 03Automatic waiting list in a fair order
  • 04Unpaid spots are released again after a time limit
  • 05Admin area for bulk actions

A look inside

This is what it looks like.

The build

How the build went.

I built VTAG myself, from the list of manual steps to the admin area. One contact for everything. The build had four steps, and I take exactly the same four steps with you.

  1. 01

    Write down the workflow

Sign-ups came in through chats and lists. Payments were checked by hand. When someone cancelled, somebody had to phone through the waiting list. Every one of these steps went on the list.

  2. 02

    Set the rules

A place is only confirmed once it's paid. Unpaid places are released again after a time limit. A fair order decides who moves up, not whoever is quickest in the chat.

  3. 03

    Build what players see

Sign up by playing level, pay online straight away, and join the waiting list when an event is full. No need to ask the team.

  4. 04

    Build what the team sees

An admin area for bulk actions. The team can see at any time who has paid and who is coming.

What would be the same for you

  • We start with how you work today, not with technology.
  • You set the rules: when a booking is confirmed and who moves up when someone cancels.
  • Your customers pay with TWINT and card.
  • Every week you get a preview you can click through.
  • The fixed price and the date are set before we start. If I deliver late, you get 5% of the price back for each week or part of a week of delay, up to 20%.

For your business

What this means for your business.

You don't need a volleyball app. But you might need the same idea: sign up, pay, move up from the waiting list. Without anyone stepping in by hand.

  • Courses and workshops

Cooking class, training course or mountain-bike skills: participants sign up and pay with TWINT, the Swiss mobile payment app, or by card. The place is confirmed as soon as it's paid.

  • Rentals

Boats, rooms or equipment: what's paid is booked. If someone cancels, the next person on the waiting list moves up automatically.

  • Clubs and events

Tournament, camp or company event: sign-ups, payments and the list of participants in one place, instead of three lists and a group chat.

  • Your team

Everyone can see at any time who has paid and who is coming. Nobody has to match bank statements against a spreadsheet any more.
